Getting started with Max
You can start in a few minutes: connect a bank, pick a chart of accounts and let Max sort your first transactions. If you have a reviewed balance sheet from your CPA, Max can start your books from it.
Open Max
- Tap Max under Workers in the left menu. Max opens on Dashboard.
- Until setup is done, a Setup list sits above the tabs: connect a bank account, pick a chart of accounts template, categorize your first 30 transactions, set your fiscal year start, upload historical statements (optional) and tag your first recurring vendor.
- Tap Open → next to a step to go to the right tab. Tap Dismiss to hide the list.
The Dashboard
The Dashboard is a live summary. It shows cash on hand, budget versus actual for the month, average monthly burn, forward run rate, runway, total liabilities, unpaid invoices and bills due this week. When Max is missing an input, the tile says what it needs, for example "Import a forward budget". With no bank linked, the Dashboard says so and offers Connect your bank.
Dated obligations show as one line above the tiles. Open the list and tap Mark done when one is finished.
The MRR tile isn't live yet and shows a dash.
Step 1: connect a bank
See Accounts and transactions. In short: Connected Accounts, then Connect via Stripe, then tap Sync now a few minutes later.
Step 2: pick a chart of accounts
Open Chart of Accounts, pick a template and tap Apply template. See Chart of accounts and approvals.
Step 3: start your books from your CPA's balance sheet (optional)
If your CPA has reviewed a balance sheet, put it in your Google Drive in a folder named Accounting. Then ask Max: "Set up my opening balances from Drive."
- Max reads the newest balance sheet document there, or the file you name.
- He checks that it ties and shows a card with every figure, its source file and its version.
- Tap the card to accept. Earlier transactions stay as history on the Transactions tab. They are kept, never deleted, and left out of reports after the opening date.
- Ask "Propose loan corrections" and tap each card you agree with. See Loans and funding.
An "open item" line from your CPA is carried exactly as written and labeled. Max never resolves it or moves it to another account. If a newer reviewed version appears in Drive, Max shows the differences under Needs you and changes nothing on his own. Changing opening balances later is a correction with a written reason.
Step 4: turn on the daily routine
Open Daily routine and tap Turn on. See Daily routine and reports.
Company Profile
In your own workspace, the Company Profile tab says your entity details, cap table and notes payable will appear once you add them. It isn't live yet. Your loans are on Loans & Liabilities and your cap table is with Reed.
Who can do what
The owner and admins can change settings, post, lock and approve. Other members can read the daily routine and submit their own expenses. A CPA seat can read the books and download the ledger.
