Invoices and bills

Invoices & Bills holds the invoices you send (money owed to you) and the bills you owe. The top line shows both totals. Tabs: Invoices, Bills, Aging and Settings.

Set it up once

  1. Open Invoices & Bills, then Settings.
  2. Enter your business name, address and contact details, how customers can pay you, and your default payment terms.
  3. If you need a tax line, add a label (such as GET) and a rate. The rate is your setting. Check it with your tax professional or your state's tax office. Max never picks a rate.
  4. Tap Save.

Bill a customer

  1. Tap Invoices, then + New invoice.
  2. Pick the customer from your Contacts (or type a new one), add line items, tick the tax line where it applies, and tap Save draft.
  3. Open the draft and tap Send. Max emails the customer the PDF, saves a copy to your Drive and marks the invoice Sent. Replies come to you.
  4. To record that you sent it another way, tap Mark as sent without emailing. To send from your own mail, use Copy text, Open in your mail app or Open draft in Gmail. SOCIII sends nothing in those cases.

Or ask in chat: "Draft an invoice for ..." and approve the card.

Get paid

  1. Open the invoice and tap Record payment.
  2. If the deposit is already in Transactions, pick it from the list. That links the two so the money isn't counted twice. Otherwise enter the amount and date.

A payment larger than the open balance is refused. If one deposit pays several invoices, use Split deposit in Reconcile.

In SOCIII's own workspace, a sent invoice also carries a Pay online card link for the open balance, and a card payment is recorded on the invoice automatically. In other workspaces this isn't available yet. If the balance changes, resend the invoice for a new link. The old one stops working, and so does the link on a voided invoice.

Add a bill

  1. Tap Bills, then + Add bill.
  2. Upload the PDF and Max fills in the vendor, amount and dates for you to check, or type them in.
  3. Pick a category and tap Save bill.
  4. When you pay it, open it and tap Record payment.

A bill that would put a category over its monthly cap waits in Approvals.
